SKN | Real Estate Lead Response Gaps Put Potential Sales at Risk, Study Finds

Pied Piper’s 2026 Real Estate Lead Handling Effectiveness Study tested 2,198 phone and website inquiries across local offices representing 21 major real estate brands, finding substantial gaps in agent responsiveness.

Although 97% of phone inquiries connected with someone, only 33% resulted in communication with an agent during the initial call, while nearly three-quarters received no follow-up within 24 hours.

Website inquiries performed worse: 68% received no response within 24 hours, and only 10% resulted in contact from an agent within the first hour.

The Public Assumption

Real estate businesses invest in advertising, online listings and lead-generation systems to attract prospective buyers and sellers. However, generating an inquiry is only the first step. If a potential client cannot reach an agent promptly, the opportunity to establish a working relationship may weaken before the sales process begins.

Pied Piper’s 2026 Real Estate Lead Handling Effectiveness Study examines this issue by testing how local offices representing 21 major real estate brands responded to customer inquiries. The research covered 2,198 phone and website inquiries and found significant differences between receiving a message and establishing direct communication with an agent.

The distinction is important because a functioning telephone line or website form does not necessarily mean a brokerage has an effective lead-handling process. Customers may still need to navigate reception staff, wait for a callback or contact an agent themselves.

The Economic Breakdown

Phone inquiries generally connected with someone, with 97% reaching a person. Yet only 53% quickly reached a representative capable of handling the inquiry, and just 33% resulted in communication with an agent during the initial call.

Follow-up performance was another weakness. Nearly three-quarters of phone inquiries received no additional contact by phone, text or email within 24 hours.

Online inquiries showed an even larger gap. According to Pied Piper, 68% received no response within 24 hours, while only 18% resulted in communication with an agent during that period. Just 10% received contact from an agent within an hour. Nearly one in ten website inquiry forms also failed to work properly.

These findings point to several potential operational weaknesses: ineffective routing, delayed follow-up, unreliable online forms and processes that leave customers responsible for making additional contact.

The commercial implications are straightforward. A prospective client who does not receive a timely response may approach another brokerage. Cameron O’Hagan, Pied Piper’s vice president of metrics and analytics, noted that prospective real estate clients often consider several options before choosing whom to work with.

However, the study does not quantify lost commissions, conversion rates or the financial value of unanswered inquiries. It establishes shortcomings in response performance, rather than measuring the resulting revenue impact.

The Hidden Picture

The findings suggest that lead generation and lead conversion are separate operational challenges. A brokerage can attract prospective clients through its marketing efforts but still struggle to turn that interest into an active relationship.

Pied Piper also found that some offices simply provided callers with an agent’s name and telephone number, leaving the customer to initiate another call. Stronger-performing offices were more likely to connect customers directly or follow up proactively.

That difference shifts part of the responsibility from the prospective client to the brokerage. Rather than treating the initial inquiry as a completed task, an effective process needs to establish whether contact actually occurred.

For brokerage managers, the reported results provide a basis for examining response times, call routing, website functionality and follow-up procedures. Nevertheless, the supplied study summary does not identify individual brands’ scores or establish which specific practices produced the strongest outcomes. It would therefore be premature to attribute the performance gaps to any particular company or technology.

Closing

Pied Piper’s findings indicate that many real estate inquiries fail to produce timely communication, despite the substantial effort businesses put into attracting prospective clients. If brokerages cannot consistently connect interested buyers and sellers with an agent, how much of their lead-generation spending is creating genuine business opportunities—and how much is being lost before the first meaningful conversation?
